Greensboro New School(“we,” “us,” or “our”) is a 501(c)(3) nonprofit preschool serving children ages 2.5 to 6 years in Greensboro, North Carolina. We take the privacy of the families and children we serve seriously. This policy explains what information we collect through our website and online services, how we use it, with whom we share it, and the choices you have.
2. Information we collect
Information you give us
- Account information: name, email address, phone number, and password when you create a family account.
- Family and child information:child's name, date of birth, allergies, dietary notes, emergency contacts, authorized pickup contacts, and similar information needed to enroll and care for the child.
- Application and registration data: answers to registration forms, signed enrollment agreements, and uploaded documents (e.g. immunization records).
- Payment information: billing details handled primarily through QuickBooks Online. We generally do not store full payment card numbers on our own servers.
- Communications: messages you send to us through forms, email, or text.
Information collected automatically
- Usage data: pages viewed, links clicked, browser type, device type, approximate location (derived from IP), referring URLs, and timestamps.
- Log data: standard server logs containing IP address, request paths, and error information used for security and operational purposes.
3. Children's information
Our public marketing pages are not directed to children under 13 and we do not knowingly collect personal information directly from children. Information about enrolled children is provided by their parents or legal guardians as part of the enrollment process and is used solely to operate our preschool programs and meet our licensing and safety obligations.
If you are a parent or guardian and believe a child has provided us with information without your consent, please contact us at info@greensboronewschool.org and we will take steps to delete it.
4. How we use information
We use the information we collect to:
- Process applications, enrollments, and payments.
- Provide day-to-day care, communication, and required recordkeeping for enrolled children.
- Send transactional messages (account confirmations, document requests, payment reminders, schedule changes).
- Send occasional school updates, newsletters, and event announcements (you may opt out at any time).
- Maintain and improve the security, performance, and content of our website.
- Comply with legal obligations, including licensing, health, and safety requirements.
6. Service providers we use
- Supabase — authentication, application database, and file storage.
- Resend — transactional and notification email delivery.
- QuickBooks Online (Intuit) — invoicing, payments, and accounting.
- Vercel — website hosting and content delivery.
Each provider operates under its own privacy policy and security standards. We will update this list as our infrastructure changes.
8. Email and text messages
We send transactional emails and, where you have opted in, text messages related to enrollment, scheduling, payments, and school announcements. You can opt out of non-transactional messages at any time by following the unsubscribe instructions in the message or by contacting us directly. We will continue to send transactional messages required to operate your account.
9. Data retention
We keep information for as long as needed to provide our services and meet legal obligations. Enrollment and child records are generally retained for the period required by state licensing and tax law. When information is no longer needed, we delete or anonymize it on a regular schedule.
10. Security
We use reasonable administrative, technical, and physical safeguards to protect the information we hold, including encryption in transit, access controls, and routine review of our systems. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.
11. Your choices and rights
You can:
- Review and update your account and family information by signing in.
- Opt out of non-transactional emails by unsubscribing or contacting us.
- Request access to, correction of, or deletion of personal information we hold about you or your child, subject to recordkeeping obligations we are required to follow.

12. Third-party links
Our Site may contain links to websites operated by third parties. We are not responsible for the privacy practices of those sites. We encourage you to review their privacy policies before providing information.
13. Do Not Track signals
Some browsers send a “Do Not Track” signal. Because there is no industry-wide standard for how to respond to these signals, we do not currently change our practices in response to them. We do not use third-party advertising cookies regardless of this setting.
14. Changes to this policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page will reflect the most recent revision. Material changes will be communicated through the Site or by email.
