Privacy Policy

Greensboro New School(“we,” “us,” or “our”) is a 501(c)(3) nonprofit preschool serving children ages 2.5 to 6 years in Greensboro, North Carolina. We take the privacy of the families and children we serve seriously. This policy explains what information we collect through our website and online services, how we use it, with whom we share it, and the choices you have.

Information you give us

• Account information: name, email address, phone number, and password when you create a family account.
• Family and child information:child's name, date of birth, allergies, dietary notes, emergency contacts, authorized pickup contacts, and similar information needed to enroll and care for the child.
• Application data: answers to application forms, signed enrollment agreements, and uploaded documents (e.g. immunization records).
• Payment information: billing details handled primarily through QuickBooks Online. We generally do not store full payment card numbers on our own servers.
• Communications: messages you send to us through forms, email, or phone.

Information collected automatically

• Log data: standard server and hosting logs containing IP address, browser type, request paths, timestamps, and error information, used for security and operational purposes. We do not run analytics or tracking tools on the Site, and we do not build usage profiles of visitors.
• E-signature records: when you electronically sign a document through the family portal, we record the IP address and browser information of the signing session as part of the legal signing record.

Our public marketing pages are not directed to children under 13 and we do not knowingly collect personal information directly from children. Information about enrolled children is provided by their parents or legal guardians as part of the enrollment process and is used solely to operate our preschool programs and meet our licensing and safety obligations.

We publish photographs or other likenesses of children only with the written consent of a parent or legal guardian.

If you are a parent or guardian and believe a child has provided us with information without your consent, please contact us at info@greensboronewschool.org and we will take steps to delete it.

We use the information we collect to:

• Process applications, enrollments, and payments.
• Provide day-to-day care, communication, and required recordkeeping for enrolled children.
• Send transactional messages (account confirmations, document requests, payment reminders, schedule changes).
• Confirm event RSVPs and send other messages you specifically request.
• Maintain and improve the security, performance, and content of our website.
• Comply with legal obligations, including licensing, health, and safety requirements.

We do not sell personal information. We share information only:

• With service providers who help us operate the school (listed below), under contracts that limit their use of the information.
• With state licensing agencies, public health authorities, or law enforcement when required by law or to protect the safety of children and staff.
• With your consent, for example to share a child's information with a healthcare provider you designate.

• Supabase — authentication, application database, and file storage.
• Resend — transactional and notification email delivery.
• QuickBooks Online (Intuit) — invoicing, payments, and accounting.
• Vercel — website hosting and content delivery.

Each provider operates under its own privacy policy and security standards. We will update this list as our infrastructure changes.

We use only a small number of first-party cookies, all of which are necessary for the Site to function:

• Sign-in session cookies that keep you signed in to the family portal.
• An anonymous abuse-prevention token set when you use the public contact form, used only to limit repeated submissions. It contains no personal information.
• Short-lived administrative cookies used by school staff during secure connections to our accounting provider.

We do not use analytics, advertising, or tracking cookies, and no third party sets cookies through the Site. If that ever changes, we will update this policy first. You can control cookies through your browser settings; disabling them may prevent you from signing in.

The emails we send are transactional or relationship messages tied to your account and requests — for example account confirmations, application status updates, document and signature requests, payment notices, and RSVP confirmations for events you sign up for. We do not currently send marketing emails, newsletters, or text messages. If we introduce optional announcements or newsletters in the future, they will be opt-in and every such message will include unsubscribe instructions and our postal address. We will always send the transactional messages required to operate your account.

We keep information for as long as needed to provide our services and meet legal obligations. Enrollment and child records are generally retained for the period required by state licensing and tax law. When information is no longer needed, we delete or anonymize it on a regular schedule.

We use reasonable administrative, technical, and physical safeguards to protect the information we hold, including encryption in transit, access controls, and routine review of our systems. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

You can:

• Review and update your account and family information by signing in.
• Decline any future optional communications — if we introduce newsletters or announcements, they will be opt-in with unsubscribe instructions in every message.
• Request access to, correction of, or deletion of personal information we hold about you or your child, subject to recordkeeping obligations we are required to follow.

To make a request, email info@greensboronewschool.org. We may need to verify your identity before acting on a request.

Our Site may contain links to websites operated by third parties. We are not responsible for the privacy practices of those sites. We encourage you to review their privacy policies before providing information.

Some browsers send a “Do Not Track” signal. Because there is no industry-wide standard for how to respond to these signals, we do not currently change our practices in response to them. We do not use third-party advertising cookies regardless of this setting.

We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page will reflect the most recent revision. Material changes will be communicated through the Site or by email.
